Keep originals separate from working copies

Create an originals folder and a working folder before merging, compressing or redacting important documents. A clear filename such as 2026-10-project-name-reviewed.pdf is easier to identify than final-final-2.pdf. Use a consistent date order so file lists sort predictably.

Organize by the task

Group documents by project, customer or submission rather than mixing unrelated records into a single large PDF. Write down the intended order before using Merge PDF. After exporting, verify that each source document starts where expected and that no pages are missing.

Make scans usable

An image-only PDF may not support text search. OCR can extract text locally in your browser. Review names, dates and amounts because OCR errors can make a document difficult to find later.

Share a reviewed copy

Use Redact PDF when sensitive text needs to be removed, then inspect the output visually and try copying text from the covered areas. Use Compress PDF only after deciding which quality is acceptable. Smaller is not always better if a recipient cannot read the scan.

Keep an export checklist

  • File opens in a second PDF reader.
  • Page count and page order are correct.
  • Text and images remain readable.
  • Sensitive information has been checked on every page.
  • The filename identifies the document and its version.
  • The original remains available in a separate location.

These checks are more useful than trusting a successful download message alone.
